Sponsor / Vendor Important Information

First and foremost we appreciate your support. This event doesn't happen without you. We structure this event to make it as much about the vendors and sponsors as the attendees.

- Vendors can check in as early as 10am on Thursday 8/3. Please be prepared with ID, email confirmation or order # or name associated with the order. Vendor check in will shut down at 10pm, if you plan on arriving later please let us know prior so we can make arrangements.

- YOU will be responsible for distributing the wristbands for your employees/staff. Please try to arrive together or be prepared to meet them at the gate with their wristband. Please make this easy on us by not asking staff to hold wristbands.

The festival grounds will be active from 4pm - 2am each day. You WILL have access to your booth space prior to these times if you wish to set up, clean up, or prepare for the afternoon/evening events. The Terp Tent will be open during the day to cool off , sesh , and relax in a cooler environment.

- The whole grounds is cannabis consumption friendly. Understand and abide by laws set forth by the state and omma.

VIP - We have 150 VIPs. We are asking any vendors that could provide something for our VIP swag bag. This could be a coupon, swag item, sticker, ANYTHING. We appreciate anyone who can make this proper for our VIP attendees. We are hoping to get something in the next 7-10 days to  these bags prepared before the event.

- We ask that you keep your booth space open until at least 12am each night out of respect for attendees and artists. Please make sure you keep your vendor area clean and void of trash. 
- do not leave anything of value at your vendor booth if you are not at the booth.

- Vendor spaces are not assigned but you will be directed on where to set up when you arrive. Certain spaces closer to stage will be reserved for our headline sponsors.

- You will have electric 110v electric hook up for your space (20-30amps). You will need to be prepared with extension cords, power strips, lights for your booth space. If you are trying to pull some exhorbant amount of power, be prepared to he the first one to ask to pull the plug if it's messing with the rest of the power. We recommend you bring a generator or be prepared with a back up plan if a large amount of power is a MUST. Louder generators may asked to be moved away from the stage out of respect for the artists.

- Please bring tent , tables, shade structure, chairs, table, zip ties, stakes , sandbags , etc. Be prepared for your tent to withstand high wind and rain, which can happen at anytime in Oklahoma.

- Good ideas to attract people to your booth is: create a cool down area, offer a unique attraction, giveaway merch, showoff product,etc.

- Be respectful of our musicians and do not amplify sound while our artists are playing music.

- Where you are camping, is not where you will be vending. The camping area is close but it is in designated areas around the resort. Because you will have first access on Friday be prepared for this and get your camp space and vendor space set up early.

- Your vendor space will not have water hook ups for your misters or water feature. Please be prepared for this. You will not have access to a hose or constant stream of water.

- You are responsible for ensuring attendees are of age to participate or consume your product. Know and understand state laws and regulations. 
Oklahoma requires a med card to consume.

FLOATING
Float check in is from 8am - 11am each day. You will check in up near the entrance to the resort and general store. You will check in with our team , then proceed to the office check in counter to sign your waivers and get your Float slip. You will then proceed outside to the staging area, where they will provide you paddles and life vests and raft / kayak. Everyone is required to sign the waiver before floating. You cannot use your own floating devices / private boats at Diamondhead Resort. Please try and be on the river by 11am each day. You will purchase the float prior to the event. It's not likely we will have floats available for walk ups on Friday or Saturday.

- The shuttle will take you 6 miles up stream to the Edmonson put in, where you will start your journey back to Diamondhead Resort. Plan on the float taking 3-5 hours. Please be prepared to be back prior to 4pm to set up your vendor booth, or have someone scheduled to be there at 4pm.

- River authority does not allow glass on the River, please be cautious of local laws. Please be courteous of other on the water that may not wish to participate. No glass containers should be on the river. No styrofoam coolers. No high point liquor.

- Bring lots of sunscreen, snacks , cooler, drinks, portable stereo, umbrella (for shade) and a dry bag to keep important items dry.

- Drink and bring LOTS of water. Maybe add in info about watching alcohol intake.
